Omni Sphere Group Limited, trading as Omni Ride ("we", "us", "our"), is a licensed private hire operator providing airport transfers, cruise port transfers, corporate travel and long-distance journeys across the South Coast of England. For the purposes of UK data protection law (UK GDPR and the Data Protection Act 2018), the data controller is:

2. What Information We Collect

When you enquire or book with us — via our website booking form, phone, email, WhatsApp or social media — we may collect:

  • Your name and contact details (phone number, email address)
  • Pickup and drop-off addresses and journey details
  • Travel details such as flight numbers, cruise or train times (used for live tracking and timing your pickup)
  • Passenger numbers, luggage details and any accessibility or special requirements you tell us about
  • Payment information (we do not store full card details; card payments are processed securely by our payment provider)
  • Records of our correspondence with you

Our website may also collect limited technical data (such as IP address, browser type and pages visited) through cookies and analytics — see section 7.

3. How We Use Your Information

We use your information to:

  • Provide quotes and fulfil your booking, including sending confirmations, driver details and pickup reminders
  • Monitor your flight, cruise or train so we arrive at the right time
  • Take payment and issue receipts or invoices (including monthly invoicing for corporate accounts)
  • Respond to enquiries, complaints and lost property requests
  • Keep records we are required to keep as a licensed private hire operator
  • Ask for feedback or a review after your journey (you can opt out at any time)

4. Our Legal Bases

We process your data on the following bases: performance of a contract (providing the journey you booked); legal obligation (booking records required under private hire licensing law and tax law); and legitimate interests (running and improving our business, following up enquiries, and requesting reviews). Where we rely on consent (for example, marketing messages), you can withdraw it at any time.

5. Who We Share Your Information With

We never sell your data. We share it only where necessary to provide the service:

  • The driver assigned to your journey (name, pickup details, contact number)
  • Payment processors, for card payments
  • Service providers that help us run the business, such as our website host and booking system
  • Local licensing authorities, police or other bodies where the law requires it

6. How Long We Keep Your Information

Booking records are kept for the period required by our licensing authority and by HMRC (typically up to 6 years for financial records), after which they are securely deleted. General enquiry messages that do not lead to a booking are deleted within 12 months.

7. Cookies and Analytics

Our website uses cookies that are necessary for it to function (for example, the booking and fare calculator) and may use analytics cookies to understand how visitors use the site. You can control or delete cookies through your browser settings. If you contact us on WhatsApp, your messages are also subject to WhatsApp's own privacy policy.

8. Your Rights

Under UK GDPR you have the right to: access a copy of your data; have inaccurate data corrected; have your data erased where there is no lawful reason for us to keep it; object to or restrict certain processing; data portability; and to withdraw consent where processing is based on consent. To exercise any of these rights, contact us at info@omniride.co.uk. We will respond within one month.

9. Complaints

If you are unhappy with how we handle your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
